4. How We Handle Recordings & Consent

a. Client-Owned Projects


When we record events or content on behalf of a client, that client is usually the data controller for any personal data captured in the footage (e.g., identifiable individuals, speakers, or attendees).

 

We act as a data processor, handling the material solely to deliver contracted services (e.g., editing, post-production, distribution).

b. Consent for Filming


We recommend clients inform participants, speakers, and attendees when filming will occur, in accordance with GDPR transparency requirements.

c. Storage & Security


All recordings are stored securely using encrypted storage systems. Project files are retained for up to 2 years after project completion unless otherwise agreed with the client.

d. Deletion or Return


Upon project completion or request, we can securely delete or return recordings to the client.

5. Lawful Basis for Processing

We process personal data under the following legal bases:

  • Contractual necessity – to provide and deliver agreed services.

  • Legitimate interests – to manage projects, maintain business relationships, and improve service quality.

  • Consent – when using identifiable images or footage for marketing or promotional purposes.
